How we handle your personal information

This policy explains what information we collect, why we collect it, and what we do with it.

Last updated: March 2026

Our commitment under the NZ Privacy Act 2020

Kapi Insurance Ltd operates in full compliance with the Privacy Act 2020 and the Information Privacy Principles (IPPs) set out in that Act. We only collect personal information that we genuinely need, we store it securely, and we give you control over it.

If you ever have questions about how we handle your data, we want to hear from you. Our contact details are at the bottom of this page.

Information we collect

We collect personal information directly from you when you request a quote, take out a policy, make a claim, or get in touch with us. The type of information depends on the service you're using, but it may include:

Contact and identity details

Your name, email address, phone number, postal address, and date of birth. We need these to set up your account and communicate with you about your policy.

Insurance-specific information

Details about the property, vehicle, or contents you want to insure - for example, your car's registration number, your home address, or the value of your belongings. We also collect your claims history and any other details needed to assess risk and arrange cover.

Payment information

Bank account or credit card details when you pay your premium. Payment processing is handled by secure third-party providers - we do not store your full card number.

Website usage data

When you visit our website, we may collect technical data such as your IP address, browser type, pages visited, and referring site. This helps us improve our website and understand how people use it.

We only collect information that is necessary. If we ask for something, there's a reason for it - usually because the insurer needs it to provide you with a quote or policy.

How we use your information

We use your personal information for the following purposes:

  • Providing you with insurance quotes and arranging cover on your behalf
  • Managing your policy, including renewals, amendments, and cancellations
  • Processing and managing claims
  • Communicating with you about your insurance - including reminders, updates, and responses to your enquiries
  • Meeting our legal and regulatory obligations as a licensed Financial Advice Provider
  • Improving our website, services, and the experience we provide

We will not use your information for purposes unrelated to insurance without your consent. We do not sell your personal information to third parties.

Who we share your information with

We share your personal information only when it is necessary to provide our services or when we are required to by law. We may share your information with:

1

Insurers and underwriters

Our insurer partners need your information to assess risk, issue policies, and process claims.

2

Service providers

Third parties who help us run our business - such as IT providers, payment processors, and cloud hosting services. These providers are contractually bound to keep your information secure and only use it for the purpose we've engaged them for.

3

Regulators and authorities

The Financial Markets Authority (FMA), the Privacy Commissioner, or other government agencies when required by law or regulation.

4

Professional advisers

Our accountants, lawyers, or auditors when they need access to fulfil their professional duties.

Some of our service providers may store data outside New Zealand. Where this happens, we take reasonable steps to ensure your information is protected to a standard comparable to the Privacy Act 2020.

Your rights

Under the Privacy Act 2020, you have clear rights when it comes to your personal information:

Access your information

You can ask us for a copy of the personal information we hold about you at any time. We will respond within a reasonable timeframe and will not charge you for this.

Correct your information

If any of your information is wrong or out of date, you can ask us to correct it. Keeping your details accurate helps us provide you with the right cover.

Withdraw your consent

Where we rely on your consent to process information (for example, marketing emails), you can withdraw that consent at any time. This will not affect any processing we have already carried out.

Make a complaint

If you believe we have breached your privacy, you can raise a complaint with us directly. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.

Cookies and tracking

Our website uses cookies - small text files stored on your device - to make the site work properly and to help us understand how visitors use it.

Essential cookies

These are required for the website to function. They handle things like keeping you logged in and remembering your preferences. You cannot opt out of these.

Analytics cookies

We use analytics tools to understand which pages are visited and how people navigate the site. This data is aggregated and does not personally identify you. You can opt out of analytics cookies through your browser settings.

We do not use advertising or tracking cookies that follow you across other websites. You can manage your cookie preferences through your browser settings at any time.

Data retention and security

We keep your personal information only for as long as we need it - to provide our services, meet our legal obligations, and resolve any disputes. When we no longer need your information, we securely delete or de-identify it.

We take reasonable steps to protect your personal information from unauthorised access, loss, misuse, or disclosure. This includes using encryption, secure servers, and access controls. However, no system is completely secure, and we cannot guarantee absolute security of data transmitted over the internet.

As a licensed Financial Advice Provider, we are also required to retain certain records for the periods specified by the Financial Markets Conduct Act and related regulations.

Changes to this policy

We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. When we make significant changes, we will update the "last updated" date at the top of this page. We encourage you to review this policy periodically.
